Import from CSV File

You can import your org chart from a pre-completed CSV file. To this end, use this template file.

The only supported format for imports is CSV. Other spreadsheet formats (such as XLSX, XLS, and ODS) are not supported. Additionally, due to variations in how spreadsheet software handles CSV conversions, saving and re-saving the template.csv in other formats can introduce errors. As such, ensure you upload the original template.csv file without any format modifications.

Recommendations

  • Photos cannot be uploaded via CSV. These must be added directly in the Org Chart interface.
  • Special characters are not allowed in email fields.
  • Inconsistent casing, especially in email addresses, can lead to errors during re-import. Please maintain strict case consistency between email addresses, e.g., using lowercase for employee and supervisor emails.
  • To avoid potential data import errors, ensure there are no blank leading spaces at the beginning of any cell in your CSV file.

CSV fields

  • First Name (required): The first name of the employee.
  • Last Name (required): The last name of the employee.
  • Email (required): The employee's primary email address.
  • AliasEmails: Alternative email addresses for the employee, separated by commas.
  • Position: The employee's job title or role within the company.
  • SupervisorEmail (required): The email address of the employee's supervisor.
  • Department: The primary department where the employee works.
  • SubDepartment: The specific team or subdivision within the department.
  • Location: The physical location or office where the employee is based.
  • StartDate: The employee's start date in the company, formatted as DD.MM.YYYY.
  • EndDate: The employee's end date in the company (if applicable), formatted as DD.MM.YYYY. This may be left blank for current employees.
  • Mobile: The employee's mobile phone number.
  • ImageURL: The URL linking to the employee's profile picture or image.

CSV format

Our system uses semicolons (;) in CSV files as the column separator. This is the standard format in many regions, especially in Europe. However, some versions of Microsoft Excel (particularly in US/UK settings) expect CSVs to use commas (,) instead, which can lead to data being incorrectly parsed.

If you see unexpected formatting or missing data when opening the CSV in Excel, you have two options to fix it:

  • Use the data import wizard:
    1. Open Excel.
    2. Navigate to Data > From Text/CSV.
    3. Select your exported CSV file.
    4. When prompted, set the delimiter to semicolon (;).
    5. Click Load to correctly display the data.
  • Manually replace the separator:
    1. Open the CSV file in a text editor (Notepad, Notepad++, VS Code).
    2. Find and replace all semicolons (;) with commas (,).
    3. Save the file and reopen it in Excel.

In the case of Google Sheets, use File > Import, select the CSV, and choose semicolon (;) as the separator under Custom Separator. Other spreadsheet applications like LibreOffice and Mac Numbers should automatically detect the separator correctly.

Import org chart from CSV file

  1. Go to Charts and click the + Create new Org Chart button.
  2. Enter a name for the org chart. Additionally, you can pick up an emoji to distinguish the org chart. Click Continue.
  3. Choose CSV file.
  4. Click Select CSV to upload to select your pre-filled CSV file or drag and drop it.

  5. Click Create Org Chart to finish.


Sync org chart data from CSV file

As a way to update employee information in bulk, you can export the org chart to CSV and then import it back.

  1. Go to Settings > Export Org Chart.
  2. Select the data source (Whole company or Department or team) and choose CSV as the file format.
  3. Click Download.
  4. Update the file locally with the new changes and save it. Modifications must follow these requirements:
    • Providing an email address is required.
    • Every email must be unique.
    • Avoid using special characters in the email addresses.
    • Ensure consistent capitalization for all entries.
  5. On Org Chart, go to Settings > General.
  6. Scroll down to Import Employee data and upload the updated file.
  7. Click the Import employee data button.
  8. You will be asked to confirm the process. Click Confirm & Import employee data to finish.
