All core objects used by the Alerts system (Notices, NoticeBoards, Notifications, etc.) are set to **Private** by default. To enable collaboration among publishing teams, Unaric uses **Public Groups** and **Sharing Rules**. These tools let organizations control who can publish Notices, who can manage NoticeBoards, and who can track delivery and engagement.

## Setup sharing settings

### 1. Create a Public Group

If more than one user collaborates on a NoticeBoard (e.g., drafting or approving Notices), you should create a **Public Group** specific to that NoticeBoard. Each Public Group should include all users who will act as **Notice Owners** for that board.

To learn how to create Public Groups in Salesforce, see Salesforce's documentation article [Public and Personal Groups](https://help.salesforce.com/s/articleView?id=platform.user_groups.htm).

Use a consistent naming convention like *NB: Training*, *NB: Compliance*, or* NB: Product Marketing* to keep publishing groups organized.

### 2. Add Data Sharing Settings for NoticeBoard objects

Once your Public Group is set up, configure **Sharing Rules** on NoticeBoard objects. Below is an example using a Public Group named **NB: Training**:

| **Object** | **Sharing Type** | **Rule** | **Access Level** |
| ------------------- | ---------------- | ---------------------------------------------------------------------- | ---------------- |
| **NoticeBoard** | Record Owner | Public Group = NB: Training | **Read Only** |
| **Notice** | Record Owner | Public Group = NB: Training | **Read/Write** |
| **Notification** | Criteria-Based | Notification\:NoticeBoard Name = Training, Public Group = NB: Training | **Read/Write** |
| **Recipient Group** | Record Owner | Public Group = NB: Training | **Read/Write** |

## Troubleshooting access

If a user cannot access a Notice, Help Topic, or Notification:

- [ ] Confirm the correct **Permission Set** is assigned.
- [ ] Check **Sharing Settings** for the relevant object (e.g., is the Notice shared with them?).
- [ ] Ensure the user is part of a **Recipient Group** or has been selected individually for the Notice.
- [ ] Review **Field-Level Security** to discard if the issue is related to visibility inside Salesforce pages.
