Notice Approvals allow publishers to submit notices for review to designated approvers before reaching their intended recipients.

## How it works

Notice Approval integrates with **Salesforce Approval Processes**. A field on the** Notice Definition** tab that, when checked, mandates an approval process for the notice. The individual responsible for reviewing the notice is the **Notice Approver**—defaults to the NoticeBoard owner but can be reassigned as needed.

The approval state will be displayed throughout the approval process. If approved, the notice’s status updates to *Approved * and move forward for publication. If rejected, the notice is sent back to the publisher for revisions and cannot be published until approved.

## Enable notice approvals

To enable this feature, your Salesforce organization must have **Approval Processes **configured for the Notice object.

1. Go to **Setup > Approval Processes** in Salesforce.
2. Choose the Notice object and define a new approval process. Set entry criteria (e.g., when approval is required), assign approvers, and specify actions for approval or rejection.
3. Designate an Approver. The default approver is the NoticeBoard owner. To assign a different approver, update the **Notice Approver **field in the** Notice Definition** tab.
4. On the** Notice Definition** tab, enable the** Approval Required** checkbox to trigger the approval process for that notice.

## Submit notice for approval

Once a notice is ready, including its content and selected recipients, it can be submitted for approval.

### Prerequisites

- The notice must be in *Drafted* state.
- The Approval Required checkbox must be ticked.

### Submission steps

1. Navigate to the **Notice Definition** tab and locate these fields:
 - **Approval Required** – Set to true if this Notice must be approved before it can be published.
 - **Notice Approver** – Choose the Salesforce User who will review the Notice. This defaults to the NoticeBoard Owner but can be changed (it cannot be the same user editing the Notice).
2. Complete the rest of the Notice, including Recipient selection.
3. Click **Submit for Approval**.

## Approve or reject a notice

The assigned approver will be notified to review the notice and can take action as follows:

1. Access the notice through the Notice Approval tab or the approver’s Salesforce approval queue.
2. Evaluate the notice’s content, recipient list, and other details.
3. Select *Approve* or* Reject*, optionally adding comments to explain the decision. After that, the Requestor is advised of success and can publish.
