Equipment Scan

Equipment Scan allows users to scan, view, and process equipment-related operations, such as confirming assignments, loans, and equipment returns. Equipment Scan can be added as a record page component to the following lightning record pages:

  • People (User)
  • Contact
  • Account
  • Opportunity

To activate Equipment Scan, use the Lightning App Builder to edit one of the above pages under Custom Components and drag the Equipment Scan component onto the page.

This component only works on the phone, tablet-portrait, and tablet-landscape form factors.

Customizable attributes

  • Info: This is the greeting message your users will see at the top of the component.
  • Assignment, Reservation, Loan, Shipment fields: Use a comma (no space) separated list of fields to add them to the displayed form for the Assignment, Reservation, Loan, or Shipment (Consumables). Added fields will be displayed or updated based on user permissions. The fields must come from the appropriate object: Equipment Assignment, Equipment Reservation, Equipment Loan, or Consumable Shipment, and may include custom fields. To hide this tab enter None.
  • Delay between scans: Enter the time between scans for the Multiple scan mode (in milliseconds).

Customize return fields

When committing a return, you can specify the equipment fields to display and update. For example, you can use this feature to update the equipment status. To this end, you use the Equipment Fields parameter.

  1. On the Salesforce desktop app, go to Equipment Scan.
  2. Click the gear icon () at the top right corner and select Edit Page on the dropdown menu to open the page in the Lightning App Builder.
  3. Click the page component to select it. On the right, you will see the list of parameters of the component. You will find the Equipment Fields parameter.
  4. Enter the fields of your preference in the Equipment Fields parameter. The Status field is set by default.

  5. Click Save to finish.

View tab additional functionality

When equipment is scanned using the Single or Multiple scan buttons, the View tab is updated with a listing of the scanned equipment. The View tab also has a counter displaying the number of pieces of equipment currently scanned and this list will also be processed for Assignment, Reservation, Loan, or Shipment of the correct type. For example, you can only ship consumables, not loan them.

Use the dropdown button (>) next to a scanned Equipment record (EQ-NNNNNN) to open the Compact Layout for that record. Opening this layout also displays 3 buttons: View, Edit, and Remove.

  • View: Opens the Equipment record in the mobile app using your defined Equipment Record Page in view mode.
  • Edit: Opens the record in Edit mode.
  • Remove: Remove this equipment from the list of scanned equipment. This is useful if the equipment was scanned in error or won't be used for later processing.

All permissions settings are respected so view and edit may act differently for different users.

In the lower section of the page, you will find the attachments section and the scanning buttons. Use the Upload Files button to take pictures or select pictures from your camera roll to upload and attach to the associated records (Assignment, Reservation, Loan, or Ship).

App page

The Equipment Scan App Page needs to be added to the Mobile Navigation where desired. See Mobile Components. All the functionality on this page requires a list of equipment so the user starts by scanning one or more equipment to update the View tab.

On the Equipment Scan app page, we have placed a Rich Text component with a user's greeting. Feel free to edit this component to instruct your users as desired. Much like the Lightning web component described above, the component includes Assignment Confirm, Count, Loan Confirm, and Loan Return fields, as well as the Delay between scans.

  • Count: By default, the Condition and Note fields are displayed for updating. It is important to note that the user-entered Condition and Note will be applied to all equipment in the View tab. As such, if Condition varies between equipment separate scans and counts may be required. Tap Save to create the Count records.
  • Confirm, Confirm Assignment, Confirm Loan: Confirm uses two sub-tabs: Assignment and Loan. Select the confirmation you wish to update. The Confirmation Date and Confirmation Note will be displayed to be updated by the user by default. If the equipment scanned does not have open loans, a warning message will be displayed. Tap Save to update the Assignment or Loan Confirmation fields.
  • Return: Only loaned equipment can be returned. If the scanned equipment records do not have an active loan, a warning message will be displayed. If the equipment record is an equipment pool, all current loans will be displayed with a toggle to select the loan(s) being returned. By default, the user will update the Equipment Status, Actual Return Date, and Return Note. The Status entered by the user will be applied to all equipment on the list. If returned equipment requires different statuses, scan and return them separately.
